Request a permanent certificate of land registry

The permanent certificate of land registry provides, online, all the registries in force regarding a property, even the pending requests. It is always updated and available for consultation.

This certificate proves, for instance, who is the owner of a property. The certificate may be consulted online (by inserting a code) and replaces the submission of a paper certificate.

The land registry certificate in paper may be requested at any land registry service.

What are the documents and requirements to Request a permanent certificate of land registry?

  • You shall have to indicate:

    • the name and the tax payer number of the individual or entity which requests the certificate (tax identification number or legal person number)
    • the address, zip code and locality of the property
    • the email to which you want to receive the certificate.

    To consult the permanent certificate, you will not need to use digital certificates.

How can you Request a permanent certificate of land registry?

Online

  1. Access the Land Registry Online website.
  2. On homepage, select the option “create”.
  3. Identify your name, email address, tax payer number (tax identification number or legal person number), address, zip code and locality.

You may also indicate your mobile phone and another email address, to ease the contact with the services.

  1. Select “add subscription” and identify the property.
  1. Indicate the property’s location, mentioning:
  • the district
  • the municipality
  • the parish.

The parish’s name where the property is located may be different on the several property documents (for example, in the land booklet and at the land description). In such cases, you must indicate the parish mentioned in the document from which you are extracting the remaining land data.

  1. Indicate the property’s number, through one of the following ways:
  • File or computerized description - it is the number of the land description or file, that is, the number of the property exactly as it is identified in the land registry.

You may have to include the autonomous fraction/accommodation unit letter (for instance, A, B, CX) or indicate the time fraction in the case of houses acquired in time-sharing (for instance, 52, which is the number of the time fraction corresponding to the last week of the year).

You may find these data in contracts regarding the property (for instance the purchase and sale deed or the constitution of a mortgage) or in previously requested land certificates.

Avoid using quotation marks, commas and expressions such us “all fractions” or “several fractions”, which delay the issue of the certificate. To ensure the correct identification of several fractions, use the feature “Select Fractions”.

  • Description in a book - it is the land description number used in the registry system prior to 1984. It is necessary to indicate the book of the registry where the land is registered, the book’s page number and if it is on the front or back sheet.

You may find these data in contracts regarding the property (for instance the purchase and sale deed or the constitution of a mortgage) or in previously requested land certificates.

  • Matrix information - it is the number of the land matrix, that is, the number of the property exactly as it is identified at the Finances service. You must identify the nature of the article, rustic or urban, and, occasionally:
  • the letter which specifies the autonomous fraction intended in the case of, for instance, an apartment or store
  • the section, in the case of rustic buildings with geometrical cadastre
  • the tree/colony in some rustic buildings.

When you identify the building, you must identify the name of the parish where the building is located with the name of the parish mentioned on the document where you extract the article number which identifies the building. You may find this information, for instance, in the land booklet, in the municipal tax settlement note and on the contracts regarding the land.

  1. If you need certificates for more than one property (building, autonomous fraction or time fraction), select “add subscription” and repeat the steps to identify the property.
  2. Carry out the payment with multibanco or credit care (Visa or Mastercard).

Respect the limit date for the payment. When you pay after this date, the payment is accepted, but the request is deemed as invalid and you must contact the land registry online to request the reimbursement.

  1. When the payment is confirmed, you will receive an email informing that the request is being processed. When the certificate is available for consultation, you will receive a second email informing that you may consult the document and reminding you of the access code.
  2. The certificate is valid for 6 months and the renewal may be requested during the last month of validity. On the last 30 days of your certificate’s validity, you will receive an email informing that you must renew the certificate to continue to consult the registries.

On the location

You may submit the request in person, at any land registry office. The code to access the certificate is provided after you submit the request.

You will need to identify yourself and provide the data which allows to identify the property:

  1. the property’s location, mentioning:
  • the district
  • the municipality
  • the parish.

When you make a registry, a code to access the permanent land certificate for 3 months is assigned, free of charge - except if you opt for a non-certified copy of the registry (that is, a copy with no certification value). The certificate may be renewed for periods of six months with the same cost of the issue of a new certificate.
